
About
The mission of the Office of Records at Millsaps College is to assist with the administration of academic programs, to serve as a liaison with the faculty, and to function as a service office for students. The Office of Records coordinates academic activities, such as creating and maintaining courses; student registration; protection of academic records; certification of students for continued enrollment and for graduation; and official transcripts. The Office maintains, interprets, and monitors academic policy and communicates procedures to faculty, students, and other constituents.

Policy for Training and Certifying Faculty to Teach Online/Distance Education Courses
All faculty planning to teach an online course for the first time are required to complete one-on-one training with the college’s Instructional Technologist. Once the training is completed, the Instructional Technologist and the appropriate Department Chair, Associate Dean, or Dean will issue a certification to the faculty member and the Dean of the College. Any Online/Distance course must be approved by the divisional dean prior to student registration for that semester. Advanced training will be available for topics such as video transcription, ALT Tags for images, screen readers, and other topics of interest to faculty members.
The Office of Records also follows all academic policies listed in the College Catalog.

Ordering a Transcript
Millsaps College holds transcripts from the following institutions:
- Millsaps College (1890-current)
- Wood College (a college in existence from 1886-2003)
- Grenada College (a college in existence from 1882-1950)
- Whitworth College (a college in existence from 1858-1928) – also maintained at Lincoln County Public Library
Official Transcripts for Millsaps College and Wood College:
For expedited delivery, we suggest that you select electronic delivery of your transcript.
Millsaps partners with the National Student Clearinghouse to provide transcripts. The price for a transcript is $10. For electronic transcripts, this fee includes the service fee charged by the Clearinghouse. For delivery of paper transcripts, the Clearinghouse will charge any postage fees associated with the delivery of the paper transcript. For electronic and paper transcripts, the service can accommodate attachments. Additionally, current students can choose whether to have the transcript delivered now or after grades have been posted and/or after a degree has been posted.
Students and alumni can request an electronic or paper transcript from Millsaps College or Woods College. The first time you request an official transcript, you will be required to set up a username and password. The Clearinghouse website will walk you through placing your order, including any associated fees. Additionally, the Clearinghouse will send you updates as your order progresses through the process, including when the transcript is sent.
Note: Transcripts for Grenada College and Whitworth College are available only as paper documents. To request an official transcript in paper from Whitworth College or Grenada College, please call us at 601-974-1120.
Current and former students may also request a paper transcript in-person in the Office of Records at Millsaps College at 1701 North State Street Campus, Jackson, MS 39210. Requirements for obtaining an official Millsaps, Wood, Grenada, or Whitworth College paper transcript are:
- A picture identification is required to pick up a previously requested transcript in the office.
- If you plan on having someone else pick up the transcript for you, please fill out this release of records form.
- We do not fax transcripts to individuals. We can fax them to other institutions for $10 per transcript.
- Transcripts are released only with a request by the student. This is in accordance with federal law, FERPA.
- Processing time is normally 24-72 working hours, but may take longer if we are experiencing heavy volume during times such as registration and graduation.
- We do not take payment over the phone.
- If you want expedited shipping within the US or international shipping, you may use FedEx. See instructions.
- Students who graduated with their undergraduate degree from Millsaps College do not have to pay the $10 fee if they are applying to graduate school at Millsaps College.
- Current Millsaps College faculty and staff who attended Millsaps College do not have to pay the $10 fee for paper transcripts.
- All financial obligations to the college must be cleared prior to receiving an official transcript.
Unofficial Millsaps College Transcripts:
Unofficial transcripts are only available for Millsaps College alumni. Unofficial transcripts are free of charge and are printed on standard white paper with an unofficial stamp across each page. Unofficial transcripts can be faxed, mailed, emailed, or picked up in person with a photo ID. You must submit your request in writing with your signature; see request form. Current students can access their unofficial transcript on Major Portal. Once you log in to Major Portal, click “Student Planning.” A new menu will come up. From that screen, on the top there will be a student planning menu that looks like arrows. Open it up and click “Unofficial Transcript.”

What are IDST courses?
IDST stands for Interdisciplinary Studies. Many IDST courses were special topics during a particular section of a particular semester. Topics were in the Humanities (Ancient World, Pre-Modern World, Modern World, Contemporary World, Fine Arts, History, Literature, Philosophy, and Religion), Social/Behavioral Science, Natural Science, Mathematics, and Computer Science. Enrollment and Education Verifications
Procedure for Requests:
- For Third Parties: The Office of Records provides enrollment/education verifications to third parties without a student’s signature, in full compliance with FERPA’s Directory Information. Companies should email records@3wpthemes.com or fax their request to 601.974.1114. A signed release from the student is required if GPA information is requested.
- For Current Students: To request an enrollment/education verification, login to Major Portal and click “Enrollment Verifications.” Once you come to the next screen, click “add new request.” Fill out the fields and click submit. The Office of Records will then process your request. See an example of a standard enrollment verification letter. If you want us to add information to the letter such as your academic standing or GPA, please write in the “comments” field what additional information you need before submitting the request. If you plan on picking up the letter yourself instead of us sending it out, please mention that as well.
- For Previous Students: Request an enrollment/education verification by filling out this form.
Please note that it is the policy of Millsaps College to not provide pre-enrollment education verification letters for students who plan to attend Millsaps but have not yet attended. Thank you for your understanding.
Transfer and Articulation
Transfer Credit
These policies govern how the Office of Records reviews credits for transfer:
- Earned hour credit is normally allowed for work taken at other regionally accredited institutions.
- Millsaps College accepts the transfer of credits earned at other institutions of higher education on the basis of course equivalency. Course equivalency is the determination that a course taken at another institution is comparable to a course offered by Millsaps College in terms of objectives, learning outcomes, and educational level. Equivalent courses are accepted and applied to meet program 要求s. Non-equivalent courses may be accepted as free electives and count as earned hours toward graduation. Some courses not regarded as consistent with a liberal arts curriculum may not be credited toward a degree.
- Mode of delivery is not a relevant or distinguishing factor in evaluating equivalency.
- For transfer courses not already having recognized equivalencies, the appropriate academic department determines the acceptance and application of each course.
- Academic departments may designate a maximum age for credits to be accepted to fulfill major, minor, or concentration 要求s.
- General education and free elective credits do not expire.
- After earning 64 semester hours at a two or four-year institution, a student may not take additional work at a community college or junior college and have it apply toward a degree from Millsaps.
- Credits earned at another institution will be recorded on a non-graded basis.
- Transfer credit is given only for courses in which the student earned a C- or higher.
- In the case of a student transferring to Millsaps with partial fulfillment of a general education 要求, the Office of Records, in consultation with the Compass Council, may approve courses to substitute for the remainder of the 要求.
- Students must be matriculated at Millsaps College to have transfer credits entered into their academic records.

Credit By Examination
Students entering Millsaps College may earn a waiver of certain 要求s or college credit as a result of their performance on specific examinations. The amount of waiver or credit is limited to two courses in any discipline and 28 hours total. International students may also be eligible for advanced placement, depending upon the educational system completed (for example: IB, A-levels, Abiture, etc.). Scores on the appropriate Advanced Placement or International Baccalaureate examinations, CLEP subject matter examination, or CEEB achievement tests should be sent to the Office of Records for evaluation. An administrative fee will be assessed for each course so recorded. A score of 4 or 5 is ordinarily required on an AP exam and a score of 5, 6, or 7 on a higher 13 level IB exam is required to receive academic credit. For information concerning scores necessary to attain credit for any AP examination IB, or CLEP, or other exam, students should consult with the Registrar or Dean of the College. International students should contact the Director of International Recruitment with any questions about their advanced placement eligibility.
Other Policies:
- Credit by exam can count in the total number of letter graded hours.
- Students can only receive 28 semester hours in credit by exam.
- Credits come in under Millsaps’ 4-credit hour currency.
Procedure:
In order for a student to receive credit for scores, the official score report must be submitted to the Office of Records for review. The student will then be notified of their status toward credit. Current recommendations from Millsaps Department Chairs are listed below regarding credit to be awarded and acceptable scores on applicable exams. This list is not all encompassing. If you have taken another examination or are interested in taking one and would like to know if you can receive course credit, please contact the Registrar.

Q: What is MajorPortal?
A: MajorPortal is the home for applications and will eventually replace functionality that has been accessible to students, advisors, and instructors in MajorAccess.
Q: How can I help students with advising and registration in MajorPortal?
From MajorPortal, advisors have access to an application called “Advising” and students have access to an application called “Student Planning.” Login to MajorPortal and click “Advising”. Q: One of the students in my class is concerning me. I am not their advisor. How do I find out who their advisor is so I can contact them?
A: Go to your class roster on MajorAccess. Go to the line corresponding to the student in question and click the “Student Profile” box and then “submit”. The student’s advisor(s) will display on the profile page that comes up.
Q: From MajorPortal, how can I waive a student’s pre or corequisites so they can get into my course?

Q: I teach a class that, per the college catalog, is registration by “permission of instructor” only. From MajorPortal, how can I give students permission to enroll in my course?

A: You can’t do this online in Major Portal. Please have the student fill out a printed change of schedule form and get your handwritten signature.

Q: How do I know if I have a registration restriction (hold) on my account that will prevent registration?
A: There will be an alert in Student Planning in the upper right hand side of the screen.
Q: I want to petition to overload my courses for a semester. How do I do that?
A: No student may register for more than 20 hours in a semester without a cumulative GPA of 3.000 and permission of the Director of Academic Advising and Student Support. If you would like to petition for overload, email the director at advising@3wpthemes.com. In your email, include why you need to overload, your GPA, and reasons why you think you will be successful despite the heavy course load.

Q: How does the summer registration process work?
A: Summer registration occurs in the Office of Records, not online. The official process occurs in late April. For Summer 2018 it is April 16-17, 2018, however students can continue to register for courses until the session’s start date. Students do not need to meet with their advisors to register for Summer sessions. Students will visit the Office of Records in Academic Complex room 142 for registration. Students should bring their college ID. For summer tuition prices, see the Business Office.
Q: Are all classes eligible for online registration?
A: Most classes are eligible for online registration but some classes such as honors, directed studies, research, and internship classes are not available for online registration. You are also unable to register online for any class you wish to take credit/no credit or audit. In addition, you cannot register online for classes you wish to repeat.
Q: How do I register for classes that I can’t register for online?
A: Classes that you can’t register for online will be registered for in the Office of Records with a paper registration form signed by your advisor and/or instructor. You will be able take the form to the Office of Records anytime after your registration time has started.
